The most important item in a welcome kit is a welcome letter, which congratulates the homeowner on their new purchase. This letter includes the new homeowner’s account number, dues amount, and billing cycle. The welcome letter also provides contact information for the Management Company and instructions on where to send their HOA dues payments.
Enclosed with the welcome letter is a contact sheet. In order to maintain the best records for our associations, we ask all new owners to complete the contact sheet and provide their mailing address, phone numbers, email address, and whether the property is a rental unit. Providing the names and contact information for tenants is important, in the event of an emergency.
The welcome kit also includes an ACH draft form, which offers the convenience of Automatic Direct Draft for homeowner association dues. The ACH draft debits the homeowner’s dues straight from their bank account, thus eliminating the need to write checks.
