Our Team-Based Approach Makes the Difference

In our experience, we have found a team-based approach to association management to be far more successful than the traditional single manager model. Each of our managers are supported by maintenance, support, and accounting teams. This allows community managers ample time to be available for same-day responses to phone calls and emails, as well as the availability to anticipate problems before they arise.

Our maintenance coordinators monitor work orders from creation to completion to ensure all maintenance issues are taken care of in a timely manner. In addition, we build a maintenance profile for every community, allowing us to contact preferred association vendors for each issue. A work order report can be included in the monthly management report for the board’s review.

The association manager has the full support of our community support team, who processes architectural applications, perform daily administrative duties, and generate all written correspondence to vendors and homeowners. Support team members coordinate vehicle parking programs and the issuing of keys and passes for community amenities. In addition, they also track and handle all information requests from homeowners, including emails and phone calls.

Our accounting team handles most financial aspects of management, from processing dues payments to cutting payment checks after board approval. They provide closing documents, process unit sales, and assist the community manager with collections.

Each community manager is also assigned a Senior Community Manager as a partner.  This Senior Manager reviews actions lists, meeting minutes, and management reports, providing another review of documentation, responses, decisions, and the actions to be made on behalf of the Board of Directors. The Senior Manager is familiar with all association matters, should the community manager be unavailable or absent.
